Make, Zapier or n8n? How we choose for each project

We build on all three. The checklist we use to pick between Make, Zapier and n8n for each client: logic, volume, hosting, AI and who maintains it.

We are often asked which automation platform is best. The honest answer is that it depends on the job, so we recommend the platform that fits each client rather than one favorite tool. Here is the checklist we use.

1. How complex is the logic?

  • Mostly linear (a trigger, a few steps, done): Zapier is quick to build and easy for non-technical teams to own.
  • Branching, looping and data transformation (routers, iterators, aggregators, error handlers): Make’s visual canvas keeps complex flows readable. Most of the project launchers and two-way syncs we build run on Make.
  • Very technical (custom code, custom authentication, version control): n8n gives developers the most control.

2. How much will it run?

Each platform counts usage differently. Make uses credits, most actions costing one. Zapier counts tasks per step, with AI steps priced by model tier. n8n counts each full workflow run as one execution, however many steps it has. For long, data-heavy runs, the difference can be large. Estimate real monthly volumes before you choose.

3. Where must the data live?

If data residency, privacy or compliance means automations must run on your own servers, n8n is the natural choice: its Community Edition is free to self-host, and its Business plan is self-hosted only. Make and Zapier run in the cloud.

4. How much AI is involved?

All three now offer AI agents, assistants that build workflows from a description, and MCP support. The differences are in pricing, model choice and controls. For AI steps that read and route emails or replies, we look at how each platform lets us put rules in front of the AI, cap spend and keep a person in the loop.

5. Who maintains it after launch?

This is the question most often skipped. A business team that wants to adjust automations itself will be happier on Zapier or Make. A team with developers may prefer n8n. Whatever the choice, we document every scenario, add error handling and alerts, and train the people who will own it.

Our short version

If you need… We usually choose
Quick, simple automations owned by a business team Zapier
Complex, multi-branch logic between business systems Make
Self-hosting, custom code or very long runs n8n

Sometimes the right answer is a mix: Make for the core operational flows, and a direct API integration where no connector exists.
