How we use AI to read each reply to a HubSpot sequence, work out what the person wants, and trigger the right next step, while the team stays in control.

Nurture sequences are good at sending emails. The hard part is what happens when someone replies. A person has to read each response, decide what it means, and take the next step, and in a busy sales team, replies wait.
This is the pattern we use to take that reading off the team’s plate.
Start with sequences that match how leads arrive: new leads from ads and forms, and older leads who went quiet. Each email carries a booking link, because the best outcome of any nurture email is a booked call.
When a lead books, they should leave the nurture sequence automatically and move into the deal pipeline. Nobody wants another automated email after they have already booked.
Replies are captured by an automation layer, such as Make, that watches for responses to the sequence and sends each one to the next step.
An AI step, Claude in the builds we have done, reads the reply and returns a structured answer: what the person wants, how urgent it is, and which route it should take. For example:
The AI decides, and the automation acts. Every step is visible in HubSpot: tags, tickets and notes on the contact.
AI should read and sort, not make promises. We keep a person in the loop for anything customer-facing that matters, alert the team in Slack when a lead needs a human, and log every decision on the record.
If your team calls leads, sync call outcomes back into HubSpot. When a call is logged, the automation pauses for that lead, so nobody is emailed after a person has already spoken to them, and leads aren’t contacted more than they should be.
Every lead gets follow-up, every reply is read and routed within minutes, and the team spends its time on the conversations that need a person. For one fitness services company, a system built this way returned about 12 times its cost in won deals in its first two months.
