How to launch ClickUp projects automatically from a won deal

The pattern we use to turn a won deal or approved RFP into a fully built ClickUp project, with the right template, phases, folders and billing in one step.

In most project-based businesses, the moment a deal is won starts an hour or more of setup: create the project, copy the right lists, add the phases, assign the team, create the folders, and enter it all again in accounting. Multiply that by every project, and setup becomes a job of its own.

Here is the pattern we use to turn that hour into a status change.

1. One master list, fed by sales

Every project starts as a row on a master project list. Ideally it is created automatically when a deal is won in your CRM, or when an RFP is approved in a sales list in ClickUp. The row carries everything the launch needs:

  • Project type as a multi-select, so one project can cover several services or disciplines
  • Scope and category, which decide which template is used
  • Client details, including whether the client is new or returning
  • Rate and charge type, if billing is involved

Only a few fields are required to launch. Everything else can be added later.

2. One status change launches it

Setting the status to something like Ready for launch triggers the automation. It reads the type and scope, picks the matching templates, and builds:

  • the project folder and its phase lists (for example, design phases at 50, 90 and 100 percent)
  • default tasks every project needs, such as kickoff, training and project management
  • assignments based on the people chosen on the master row
  • folders in your file storage, linked back into the right tasks
  • the matching project in your accounting tool, with billable rates, if you invoice by time

When everything is built, the automation sets the status to Active by itself. That final change is the confirmation that the launch worked.

ClickUp’s newer native Create List automation action (release 4.09) can now handle part of this inside ClickUp. Steps that reach other systems, like accounting or file storage, still need an integration platform such as Make.

3. Protect the numbers that matter

Once projects run themselves, protect the data leadership relies on:

  • Estimates roll up from sub-item to phase to project, and on to accounting.
  • Estimates are controlled in one place. If someone edits an estimate inside the project by mistake, an automation reverts it and logs the change.
  • Tracked time flows to billing, so finance invoices from current numbers without re-keying them.

4. Handle the special cases explicitly

Every business has one. For a construction company, it was properties with two filings, which need two permits, two budgets and two folder sets. For an engineering firm, it was projects that span several disciplines. Build those as their own branch of the launcher instead of leaving them for someone to fix by hand.

What it changes

Done well, launching a project goes from hours of setup to minutes, every project follows the same structure, and leadership sees phase, hours and status for every project from one list, without opening each one.
